Safety Line at the Fürstlichen Gartenfest at Kloster Eberbach

Around 7,000 visitors, changeable weather conditions and challenging ground conditions presented both the organisers and the team with significant challenges. However, thanks to thorough preparation and flexible solutions on site, our Safety Line team successfully ensured the event ran smoothly throughout the weekend.

It was clear to us from early morning that this would be an intensive weekend. Around 7,000 visitors made their way to the Fürstliches Gartenfest at Kloster Eberbach. While Friday was marked by rain and cool temperatures, the weather proved considerably more favourable on Saturday and Sunday. For us, this meant constantly changing conditions to which the team had to adapt repeatedly. Nevertheless, the atmosphere remained positive throughout – among guests, organisers and the Safety Line team on site alike.

Well planned is half accomplished: our work begins long before the event itself.

Our involvement did not begin on the day of the event. We were already engaged in the conceptual planning phase beforehand. This included consulting on security and parking management, coordinating operational procedures and supporting the organiser with official approvals and permits. Our management team was able to contribute both its professional expertise and extensive local knowledge.

A particular challenge: highly changeable weather throughout the weekend

This year's event was heavily influenced by the weather. During the set-up phase and on the first day of the event, persistent rainfall rendered large areas inaccessible to vehicles. On the first morning alone, several vehicles had to be recovered from waterlogged ground. The affected areas were subsequently secured by our team and reorganised at short notice.

Throughout the weekend, the situation remained dynamic. Our site managers continuously assessed conditions and adapted procedures in order to remain fully operational at all times. This flexibility proved crucial to the successful progression of the event.

At the same time, all operational tasks continued as planned. Our team managed entrance control, organised parking operations, directed visitor flows and remained present across the entire site as a point of contact for guests. Given the exceptionally high number of visitors and vehicles – exceeding previous years' figures – a structured yet flexible approach was essential.

A key component of the operation was the use and preparation of the parking areas. These areas are normally used for agricultural purposes and first had to be prepared accordingly. Once the event had concluded, the dismantling process was completed quickly and efficiently, enabling the land to be returned to its original condition without delay.

Kloster Eberbach is a familiar venue for Safety Line. Our long-standing partnership enables us to organise operations efficiently and respond quickly even in demanding situations.

Feedback following the event was correspondingly positive. Particular praise was given to the structured preparation, the reliable delivery and the professional conduct of the team. Managing Director Matthias Herteux, who was personally present on site, summed it up perfectly: “This is also a huge compliment to the team. Everyone pitches in and works together to make it happen. Successful delivery of a major event through planning and teamwork

Despite changing weather conditions, challenging ground conditions and high operational demands, the event was delivered successfully. Visitors and organisers alike were highly satisfied.

After an intensive weekend, the team was understandably tired but equally proud of what had been achieved together. The Fürstliches Gartenfest will return in 2027, although the exact date has yet to be announced. We are already looking forward to it.
